Users & Roles

Intro to Users and Roles

Users and Roles is every person on your account, active and deleted. Invite, assign, change a role, or bring someone back from the Deleted Users tab.

One page for everyone who works for you: who they are, what they can do, and which sites they cover.

What you'll need

  • Only Admins and Super Admins open Users and Roles. Team Members don't see it.
  • Open it under Settings, then Users and Roles in the Organization section.

What is Users and Roles?

It's the staff board. Every person on the account is here, whether they signed in this morning or left last spring, and every change you make to someone's access starts from their row.

The page has two tabs. Active Users is who can sign in today. Deleted Users is who can't, and it's where they wait rather than disappearing.

What you can do with Users and Roles

  • Add someone with Add New User, and pick their role and their locations as you go.
  • Search the list, or download it with Export as CSV.
  • Open a person to change their role, their locations, or their details.
  • Chase an invitation that hasn't been accepted, or cancel it.
  • Delete someone who's left, and restore them if they come back.

Deleting is not permanent, cancelling is

This is the part that catches people. Deleting a user is reversible—they move to Deleted Users and their work stays credited to them. The confirmation says the action can't be undone, and that wording is wrong.

Cancelling an invitation is the opposite. That one really does remove the person for good.

NoteA deleted user's email address stays taken. You can't invite the same address again until you restore them.

Roles and permissions

A role covers the whole company, not one site. Making someone an Admin makes them an Admin everywhere they're assigned.

Common questions

Does a role apply to one location or all of them?

All of them. Roles are company-wide, so assign locations separately to control where someone works.

Can I undo deleting someone?

Yes. They move to the Deleted Users tab, and Restore brings them back with their history.

Who can change the Account Owner?

Only the Account Owner, under Transfer Ownership. The Account Owner is always a Super Admin and can't be deleted.
