Scheduler

Intro to Requests

Requests is where time off and availability from your team wait for a decision. Approve or deny them here, before you build the week around them.

Keep your team scheduled—and your wash covered.

What you'll need

  • Available on the Bundle plan, or on a Custom plan that includes the Employee Scheduler.
  • Only Admins and Super Admins open Requests. Team Members file requests but never see the queue.

What is Requests?

Requests is the inbox between your team and the schedule. Someone asks for a Friday off, or tells you they're never free before noon, and it lands here until you decide.

Think of it as the clipboard by the back door where people used to write "can't work Sat"—except it reaches the roster, so an approved request stops you scheduling over it.

The two kinds of request

Availability RequestsHours they're never free, week after week, like a college timetable

Both arrive the same way and both sit in the same three states, but they behave differently once approved. A time off covers particular dates; an availability is a standing rule.

Pending, Approved and Denied

Each kind has its own Pending, Approved and Denied tab, with a count on Pending so you can see what's waiting without opening it.

Denying asks you for a reason, and the person sees it. A denied request can't be reopened or resubmitted—they file a new one. What each state does to the schedule is in Request statuses explained.

How Requests works

Someone files it → It waits in Pending → You approve or deny → The schedule respects it

Example: a technician asks for the Thursday of county fair week. Approve it, and when you build that week the plus sign on his Thursday is gone, so you staff the vacuum island with someone else before it becomes a problem on the day.

Common questions

Can I change a decision after I've made it?

Yes. Open the request from its Approved or Denied tab and decide again.

Can someone resubmit a request I denied?

No. A denied request is closed for good, so they file a new one.

Does this affect my other locations?

No. Requests belong to the location they were filed at, so each site has its own queue.
