Build, publish, and copy a schedule

Build, publish, and copy a schedule

Add shifts to the week, publish when the coverage is right, and copy a week forward instead of rebuilding the same pattern.

Nothing you build reaches your team until you publish, so you can move the openers around all week and send one version out.

What you'll need

  • Available on the Bundle plan, or on a Custom plan that includes Employee Scheduler.
  • Admins and Super Admins build and publish. The items aren't shown to Team Members.
  • At least one shift type for the location.

Add shifts to the week

Say Saturday needs a second closer to wash down the tunnel.

To add a shift:

  1. Select Schedule in the side menu, then Create Schedule.
  2. In the employee's row, select the plus sign on the day you're scheduling.
  3. Choose a Shift Type. The times fill in, and you can change them.
  4. Under Apply To, select any other day that gets the same shift.
  5. To add a lunch break, tick Schedule Break?, select Add Break, and name it.
  6. Select Add.

The shift lands on the grid marked Not Published, and the Publish button counts it.

Publish the week

To publish:

  1. Select Publish in the upper-right corner.
  2. Check the count on Ready to publish?.
  3. Select Publish Schedule.

Subscribed users at the location get a Schedule Published notification, and the week shows up under View Schedule for your team.

NoteRescheduling a published shift unpublishes it. Publish again to notify your team.

Copy a week forward

To copy a schedule:

  1. Select Actions, then Copy Schedule.
  2. Pick the week under Copy From (Source Week).
  3. Pick the week under Copy To (Destination Week).
  4. Tick Include events from source week to bring staff meetings across.
  5. Select Copy Schedule.
Good to know
  • Copied shifts arrive unpublished, and anyone with time off that week or an overlapping shift is skipped—the message tells you how many.
  • You can copy from the current week or the 4 before it, into any of the next 5.
  • Clear Schedule removes everything in the week you pick, published or not: shifts, events, and approved time off. The confirmation box says time off is left alone, but it isn't, so check what's in the week before you use it.

Common questions

Can my team see shifts before I publish them?

No. Team Members only see published shifts, so a half-built week stays yours until you select Publish Schedule.

Can I change a shift after publishing?

Yes, but moving a published shift un-publishes it. Publish again or your team stops seeing it.

Who can do this?

Only Admins and Super Admins. The building controls aren't shown to Team Members at all.
