Incidents

Sign the legal disclosure

Hand the customer the screen, have them read the disclosure, tick the box and sign. The signature is stored on the claim and cannot be changed after.

October 15, 2026

A claim is worth a lot more six months later if the customer put their name to it on the day. The disclosure is where that happens.

What you'll need

  • Available on the Bundle plan, or on a Custom plan that includes Incidents.
  • The customer, in front of the screen. You cannot sign for them.
  • An Admin can require the signature, or hide it, in the Incident Form Editor.

Get the disclosure signed

To sign the disclosure:

  1. On the claim, go to Legal Disclosure and select View & Sign Disclosure.
  2. Hand the screen over and have the customer read it.
  3. Tick I have read and accept the legal disclosure.
  4. Have the customer sign in the box under Customer Signature.
  5. Tick Send an email confirmation if they want a copy.
  6. Select Accept & Sign.

Clear Signature wipes the box if they want another go. The signature only unlocks once the acceptance box is ticked.

Send them a copy, and a tracking link

Ticking Send an email confirmation emails the customer their signed disclosure when the claim is created. A second option appears underneath, Include a tracking link in the email to follow the progress in real-time?, which adds a link they can open any time to see where their claim stands.

After it's signed

The section goes read-only and says so: the disclosure has been accepted and signed. An Acceptance Log records what they agreed to and when, and the signature stays on the claim and on the printed report.

Good to know
  • The disclosure text is your company's, set once in the Incident Form Editor and shown on every claim. It can run to 5,000 characters.
  • A signed disclosure cannot be re-signed or edited, so read it back before you select Accept & Sign.
  • The claim is saved with the disclosure as it read that day. Changing the wording later does not change what an old claim says the customer agreed to.

Common questions

Can I log a claim without a signature?

Only if your company has not made it required. An Admin sets that in the Incident Form Editor.

What if the customer won't sign?

Log the claim with everything else you have and note why. The signature is one piece of the record, not the whole claim.

Can the customer sign later?

The signing screen is part of the claim, so open the claim and sign it then. Once it is signed it cannot be reopened.
