Incidents

Send a customer a tracking link

Every claim has a private tracking page. Copy the link from Actions, or have it go out in the customer's confirmation email when they sign.

October 15, 2026

The phone call you do not want is the one asking whether anything has happened yet. Give the customer a page of their own instead.

What you'll need

  • Available on the Bundle plan, or on a Custom plan that includes Incidents.
  • Anyone at the location can copy a claim's tracking link.
  • A saved claim. The link belongs to the claim, not to the customer's account, because they do not have one.

Copy the link

To share a tracking link:

  1. Select Incidents in the side menu, then the claim.
  2. Select Actions.
  3. Select Copy Tracking Link.
  4. Paste it into a text, an email, or whatever you already use.

Or send it with the confirmation email

While the customer signs the legal disclosure, ticking Send an email confirmation gives them a copy of what they signed. Ticking Include a tracking link in the email to follow the progress in real-time? underneath puts the link in that email, so they leave with it already in hand.

An Admin can hide that option for your company in the Incident Form Editor.

What the customer sees

Their own claim, and nothing else: the current status, a four-step progress timeline from Report created through to Closed, when it was last updated, their details and vehicle, the reference, and how to reach your wash by phone, email or directions.

They do not see your notes, your priority and progress steps, who the claim is assigned to, your evidence, or any other claim.

Good to know
  • The link is the only credential the page asks for, so anyone holding it can open the claim. Send it to the customer, not to a group thread.
  • Fields your company hides on the incident form are left off the customer's page too.
  • The page is kept out of search engines, so it will not turn up in a web search for the customer's name.

Common questions

Does the customer need a WashUp login?

No. The page opens straight from the link with no sign-in.

Does the page update on its own?

Yes. It reads the claim as it stands now, so the customer sees each status change the next time they open it.

Can I turn a link off?

Not from WashUp. Treat the link like a document you emailed: it keeps working, so be deliberate about who gets it.
