Email an incident to a customer

Email an incident to a customer

Send the incident details from the mail icon on the incident. It goes out from a no-reply address, so give the customer another way to reach you.

Your insurer wants the claim in writing, or the customer asks for a copy. Send the details from the incident itself—to people at your company, to outside addresses, or both.

What you'll need

  • Available on the Bundle plan, or on a Custom plan that includes Incidents.
  • Anyone at the location can email an incident. You don't need to be an Admin.
  • A saved incident. The mail icon isn't there while you're logging one.

Send the details

To email an incident:

  1. Select Incidents in the side menu, then choose the incident.
  2. Select the mail icon at the top of the page, beside the status dropdown.
  3. Under Select users, pick anyone at your location who should get it.
  4. Type any outside addresses in the box underneath, separated by commas.
  5. Select Send Email.

The email goes out right away and you land back on the incident. Nothing is written onto the incident to show it was sent, so add a note if you need a record.

What the recipient gets

The subject names the customer, your location, and the incident date. The details sent are the customer's name, phone, and email, the vehicle's VIN, year, make, and model, the incident date and time, the current status, who reported it and when, and a link to the incident.

It comes from WashUp Solutions, at no-reply@mg.washup.solutions, with no reply-to address. A customer who hits reply is writing to nobody, so give them your number another way.

Good to know
  • The customer can't reply to this email. Give them your wash's phone number or email separately.
  • The link in the email opens the incident inside WashUp, so only someone who can sign in to your company can use it. A customer can't.
  • Outside addresses are typed in by hand and aren't checked, so a typo sends the claim to the wrong place with no warning.

Common questions

Can I send it to someone outside my company?

Yes. Type their address in the box under the user picker, with commas between several addresses.

Who can do this?

Anyone at the location can send the details.

Can I undo this?

No. Once it's sent it's gone, and outside addresses aren't checked for typos, so read them back before you send.
