Log an incident

Log an incident

Record a damage claim while the customer is still on the lot. Every field on the form is required, so gather the details first.

A customer says the wrap set scuffed their door. Log it while the car and the plate are in front of you—every field on the form is required.

What you'll need

  • Available on the Bundle plan, or on a Custom plan that includes Incidents.
  • Anyone at the location can log an incident. You don't need to be an Admin.
  • The customer's name, phone, and email, plus the vehicle's VIN, plate, and description.

Log the claim

To log an incident:

  1. Select Incidents in the side menu, then New Incident.
  2. Under Customer Details, fill in Customer Name, Phone, Email, and Member.
  3. Under Vehicle Details, enter the VIN first and let it fill in Year, Make and Model, then add Plate, State / Province, and Color.
  4. Under Incident Details, fill in Incident Area, Incident Date, and Incident Time.
  5. Type what happened in Content and attach photos with the file picker below it.
  6. Select Save.

The incident saves as Under Review and lands on that tab. Everyone at the location subscribed to incident notifications gets an email and a push notification right away.

Let the VIN fill in the vehicle

Enter the VIN and move to the next field. WashUp looks it up against the US national vehicle database and fills in Year, Make and Model for you.

Type over any of them if the lookup gets it wrong, and check them before you save. Color, Plate and State / Province are never filled in for you.

The lookup runs when you leave the VIN field, not as you type, and it works the same on an incident you're editing later.

If the VIN isn't recognised, WashUp doesn't warn you. It can leave Year, Make and Model blank instead, so fill them in by hand when that happens.

Good to know
  • Every field except Assigned To is required, and Assigned To doesn't appear until the incident is saved. Open it again to assign an owner.
  • Incident Date takes MM/DD/YYYY. Anything else comes back as a validation error and nothing is saved.
  • Logging an incident notifies your team, not the customer. Sending the details to the customer is a separate step.

Common questions

Can I change it later?

Yes. Open the incident again to set its status, assign an owner, and add notes or photos.

Does the VIN fill in the whole vehicle?

No. It fills in Year, Make and Model. Color, Plate and State / Province are always yours to enter.

Will my team get notified?

Yes, whoever has the incident alert switched on. The customer is not emailed by logging it.
