Almost every failed upload is one of three things: the file is too big, it's a type that screen won't take, or the record is already full.
If the file is too large
Photos are capped at 10 MB each. A full-resolution shot of a cracked pay station from a newer phone can clear that on its own. The error names the file and says it exceeds the maximum size.
Resize or re-take the photo at a smaller size and add it again. Videos get more room—100 MB each—and documents take 25 MB.
Watch out on Report an Issue: the dropzone says up to 50MB, but the 10 MB photo cap still applies. A 20 MB photo finishes uploading and is then turned away.
If it's the wrong type
Equipment photos are JPG and PNG only. A GIF or a WEBP comes back saying the file must be JPG or PNG. A screenshot saved as HEIC or SVG is refused the same way—export it as JPG first.
Elsewhere the list is wider. Attention items, services, and incidents take JPEG, PNG, GIF, and WEBP photos, MP4, MOV, and WEBM video, and PDF, Word, Excel, CSV, text, and Markdown documents. The Report an Issue picker takes JPG, PNG, PDF, and MP4.
A photo that's already attached keeps working even if its type is no longer accepted. The rule applies to new uploads.
If you've hit the count
One record holds 10 photos, 3 videos, and 5 documents, and never more than 18 files in total. Remove something you no longer need, or attach the rest to the next inspection or service on that equipment instead.
