Archive and unarchive equipment

Archiving takes equipment off your active list and keeps its history. It also cuts inspection and service connections, which unarchiving won't restore.

September 29, 2026

The old dryer is gone and you want it off the list. Archiving is how, because ordinary equipment has no delete. Read the warning first: archiving severs connections that unarchiving won't restore.

What you'll need

  • Available on the Bundle plan, or on a Custom plan that includes Inspections or Services.
  • Only Admins and Super Admins can archive or unarchive.

Archive a piece of equipment

To archive an item:

  1. Select My Wash in the side menu, then the bay.
  2. Select the item to open Equipment Details.
  3. Select Actions, then Archive Equipment.
  4. Read what the box says it will disconnect. It counts the affected services and inspection items.
  5. Type why under Reason (optional) if it helps whoever reads this later.
  6. Select Yes, Archive Equipment.

Connections will be removed: the item comes off every active inspection and every scheduled service. History is preserved: past service records, inspection logs, and activity history all survive.

What the item looks like afterward

It disappears from the bay's active list. On its own page it carries an Archived badge and a line reading Archived on the date by whoever did it, plus the reason if one was given.

Unarchive it

To restore an item:

  1. Open the archived item.
  2. Select Actions, then Unarchive Equipment.
  3. Select Yes, Unarchive Equipment.

It returns to the active list and your team can log service, inspections, and history against it again.

Good to know
  • Unarchiving does not restore connections. The inspections it was on and the services it was scheduled for stay severed, and you rebuild them by hand. This is the one thing people get caught by.
  • Archiving is not deleting. Ordinary equipment can't be deleted at all, which is deliberate: the history has to go somewhere.
  • Archive to retire something, not to tidy up. If an item is just in the wrong place, move it to another bay instead.

Common questions

Can I undo this?

Partly. Unarchiving brings the item back, but the inspections and service schedules it was on stay severed and have to be rebuilt by hand.

Who can do this?

Only Admins and Super Admins can archive or unarchive.

Will my team get notified?

No. Archiving is silent, so tell anyone who runs an inspection that included the item.
