Add a location event

Add a location event

Put a staff meeting, a deep-clean day, or a closure on the schedule and invite the whole site or just the people you need.

A location event belongs to the site, not to one person. Reclaim tank service, a vendor walkthrough, a Saturday closure—it sits across the top of the week where everyone can see it.

What you'll need

  • Available on the Bundle plan, or on a Custom plan that includes Employee Scheduler.
  • Admins and Super Admins add location events. The item isn't shown to Team Members.

Add an event to the week

To add a location event:

  1. Select Schedule in the side menu, then Create Schedule.
  2. In the Events row across the top of the grid, select the plus sign on the day.
  3. Enter an Event Title, and a Description (Optional) if it needs one.
  4. Under Day, select any other day the event also runs.
  5. Set Start time and End time.
  6. Leave Schedule all employees at this location for the event ticked, or clear it and pick names.
  7. Select Create.

A title is required and can run to 255 characters. The event appears in the Events row marked Not Published until you publish the week.

Change or remove an event

Select the event on the grid to open it. Change the title, times, days, or who's invited, then select Save. The invite box here is labelled Schedule and invite everyone at this location for this event.

To remove it, open the event and select the trash icon.

Good to know
  • Include this event in weekly total hours starts ticked, so the event's hours are added to the weekly total for everyone in it. Clear it for anything that isn't paid time.
  • An event is hidden from your team until the week is published, and changing its start or end time un-publishes it again.
  • Whoever creates the event isn't invited to it. Invitations go to everybody else at the location.

Common questions

Can I change it later?

Yes. Open the event to edit it or remove it. Changing its start or end time un-publishes the week, so publish again afterwards.

Who can do this?

Only Admins and Super Admins. The scheduling controls aren't shown to Team Members at all.

Will my team get notified?

Not by the event itself. It stays hidden from them until you publish the week.
