Require photos or notes, or make a task admin-only

Require photos or notes, or make a task admin-only

Set a task so it cannot be checked off without a note or a photo, or hide it from Team Members so only Admins ever see it.

A checked box doesn't prove the trench got cleared. Completion requirements make the person finishing a task leave a note or a photo first, and the role setting keeps admin work off the floor team's list.

What you'll need

  • Available on the Bundle plan, or on a Custom plan that includes Tasks.
  • Super Admins and Admins set these options. Team Members complete tasks but can't change how they work.

Require a note or a photo

To require completion data on a task:

  1. Select Tasks in the side menu, then Task Library.
  2. Open the list, then select Edit List.
  3. On the task, select Show next to Advanced Options.
  4. Under Completion Requirements, tick Require completion notes, Require photo submission, or both.
  5. Select Save Changes.

From then on the task opens a completion form instead of checking off in one go, and it won't close until the note or photo is there.

Make a task admin-only

Under Role Assignment, tick Only allow Super Admins and Admins to view and complete this task, then select Save Changes.

On a task this hides the work rather than only locking it: the task is filtered out of a Team Member's day on the Tasks page, so they never see it to ask about. Admins and Super Admins see it with an Admin only chip on the row.

NoteThe same-sounding option on a service behaves differently. There it only blocks completion—the service still shows up for everyone.

When these options are greyed out

Attach an inspection to a task and Require completion notes and Require photo submission both grey out, with the line that these options aren't available when an inspection is attached to a task. The inspection collects the notes and photos instead. Role Assignment stays available.

Good to know
  • Each option adds a chip to the task row—Photo required, Notes required, Admin only—so anyone can see what a task expects before they start it.
  • Requirements sit on the task, not the list, so one item on an opening checklist can demand a photo while the rest don't.
  • A change takes effect on tasks already sitting in today's list, not only on the ones generated tomorrow.

Common questions

Can I change it later?

Yes. Both options can be switched on or off at any time, and the change applies to tasks created from then on.

Who can do this?

Only Admins and Super Admins, since these sit inside the task editor.

Will my team know a task expects a photo?

Yes. The task row carries a chip reading Photo required, Notes required, or Admin only, so they can see before they start.
