Create a one-time task

Create a one-time task

A one-time task is a job that happens once. Add it from the Tasks page, drop it into a routine list, and it never comes back.

A hose blew on the pressure washer this morning and someone has to swap it before close. That's a one-time task: it lands in today's list, gets done, and never comes back.

What you'll need

  • Available on the Bundle plan, or on a Custom plan that includes Tasks.
  • The Task Library and One-Time buttons aren't shown to Team Members, so this is an Admin and Super Admin job.
  • At least one routine task list at the location. Every one-time task has to live in one.

Add a one-time task

To create a one-time task:

  1. Select Tasks in the side menu.
  2. Select One-Time.
  3. On the Create one tab, type the job into Task Name.
  4. Choose a Task List. Only routine lists are offered.
  5. Pick someone under Assign To if you want it on one person.
  6. Select Show beside Advanced Options to set a time frame, require a photo or notes, or make it admin-only.
  7. Select Create.

Create stays greyed out until Task Name and Task List are both filled in. The task shows up in today's list as soon as you save it.

Start a situational list for the day

A situational list is shoveling the driveway after a snowstorm—built in advance, used only when the weather turns. Nothing from it appears in anyone's day until you pull it in.

To pull tasks from a situational list:

  1. Select Tasks, then One-Time.
  2. Select the Use situational list tab.
  3. Choose the list under Select a Situational Task List.
  4. Tick the tasks you want under Tasks to Import.
  5. Select Import Selected Tasks.

Each one you tick becomes a one-time copy for today. Once it's completed, it won't appear again.

Good to know
  • A one-time task is always created for today. There's no date field on the form.
  • With no routine list at the location, the form reads No routine lists available and points you at Create a routine list first.
  • Ticking Repeat throughout the day under Advanced Options creates one copy per slot instead of a single task.

Common questions

Can I schedule one for next week?

No. A one-time task is always created for today. For work on a set date, add it to a routine list with a frequency.

Who can do this?

Only Admins and Super Admins get the One-Time button. Anyone at the location can complete what it creates.

Can I change it later?

Yes, until it's completed. Open the task to edit its description or its options.
