How to manage pending invitations and invite links

Track, manage, and control outstanding user invitations and reusable invite links in your WashUp workspace.

Introduction

Managing invitations helps keep your WashUp workspace secure, organized, and up to date. This guide shows you how to view pending invitations, resend or copy invite links, and manage access before a user completes their account setup.

Step 1: Accessing Invitation Management

  1. Sign in to your WashUp account with Admin or Super Admin privileges.
  2. Click on your profile located in the bottom-left corner of the sidebar.
  3. Select Settings, then open Users and Roles.

On this page, you’ll see a list of users with a status of Pending Setup, meaning the invitation email has been sent but the user has not completed their account setup yet.

Step 2: Managing Pending Invitations

From the Pending Setup list, you can:

  • View all users who have been invited but haven’t accepted yet.
  • Copy the invitation link for a user to resend it manually via text or email.
  • Confirm which role and location access the user will receive once they complete setup.

This is especially helpful if the original invite email was missed or filtered into spam.

Step 3: Using Invite Links

Invite links allow you to share access without sending a new email invite each time.

  1. Locate the invitation you want to reuse.
  2. Click Copy Invitation Link.
  3. Share the link directly with the intended user.

Once the user opens the link, they’ll be guided through creating their account and joining your workspace.

Important Notes & Tips- Only Admin and Super Admin users can manage invitations
- Pending invitations do not grant access until setup is completed
- Invite links should only be shared with trusted individuals
- If a user no longer needs access, remove or ignore the pending invitation
- For security, avoid posting invite links in public or shared channels
